The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL3 (Student Services Officer) with the School of Graduate Studies. This is a continuing full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $18.27-$21.64 per hour.
The function of this position is to support the activities of the School of Graduate Studies (SGS) as they relate to the provision of key services to the graduate students and wider University community. The position reports to the Operations Coordinator of the School of Graduate Studies but will also work closely with the decanal group (the Dean and Associate Deans), other UNB offices and outside agencies at the Provincial and Federal level.
Position summary:
- Provide scholarship and award information to graduate students, faculty, and graduate departments.
- Administer scholarship and award nominations, applications, and inquiries.
- Assist in assembling adjudication committees for award competitions.
- Maintain records of applicants, and continuing students, receiving awards/scholarships.
- Manage scholarship and awards accounts and account reporting.
- Coordinate graduate student payment processes.
- Administer graduate student travel grant applications and follow-up.
- Provide detailed and accurate data entry for Undergraduate Awards Office and ITS.
- Liaise with external agencies and prepare quarterly scholarship reports.
- Communicate closely with Office of Research Services and Financial Services to reconcile award accounts and investigate, or report on, awards history.
- Coordinate awards information support to university committees and project initiatives.
- Develop professional skills resources for graduate students and liaise with MITACS and other external agencies in delivery of professional skills workshops.
- Develop and maintain web resources for School of Graduate Studies.
- Coordinate communications and outreach strategy for Graduate Studies.
- Assist with other general office duties as needed.
Requirements/Skills:
- University degree, or high school graduation, one year related diploma, and at least two years of related experience.
- Relevant experience in a university setting. Working knowledge of a Graduate Studies environment is an asset.
- Ability to multi-task and work with minimal supervision, in a shared office space, while at the same time functioning as part of a collaborative, team environment.
- Attention to detail, accuracy and organization and ability to meet internal and external deadlines.
- Familiarity with computer technology and software for word processing, spreadsheets and databases, and web development and publishing.
- Excellent communication and interpersonal skills, including grammatical proficiency in writing.
- Comfortable working with national and international graduate students.
